FT Recruitment Ltd (“FT Recruitment”, “we”, “us” or “our”) is committed to protecting your privacy. This policy explains what personal information we collect when you use our website, apply for a role, or engage us to fill a vacancy, and how we handle that information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Please read this policy carefully. By using our website or our recruitment services you acknowledge the practices described here. This page is a template and the copy below should be reviewed by a qualified adviser before publication.
1. Who we are
FT Recruitment Ltd is a recruitment agency based at Mease House, 76 High Street, Measham, DE12 7HZ, with a branch in Ashby-de-la-Zouch, serving employers and candidates across the Midlands. We recruit for Driving, Warehouse, Hospitality and Construction (FT Construction) roles on both a temporary and permanent basis.
For the purposes of data protection law, FT Recruitment is the “data controller” responsible for your personal data. If you have any questions about this policy, you can reach us using the details in section 11.
2. Data we collect
Depending on how you interact with us, we may collect the following categories of personal data:
- Identity and contact details — your name, address, telephone number, email address and date of birth.
- Career information — your CV, work history, qualifications, references, right-to-work documentation, driving licence and relevant certifications.
- Application data — the roles you apply for, interview notes, assessment results and your availability.
- Client and employer data — where you engage us to recruit, the contact details of your representatives and details of your vacancies.
- Technical data — your IP address, browser type, device information and how you use our website, collected through cookies and similar technologies.
- Special category data — in limited cases, and only where lawful and necessary, information such as health or access requirements relevant to a placement.
We collect this data directly from you, and sometimes from third parties such as referees, former employers and background-check providers.
3. How we use your data
We use your personal data to provide our recruitment services, which includes:
- matching you with suitable temporary or permanent vacancies;
- putting your details forward to prospective employers (with your consent);
- carrying out right-to-work, reference and, where relevant, background checks;
- arranging interviews, placements and payroll for temporary workers;
- keeping you informed about roles and opportunities that may interest you;
- meeting our legal, regulatory and contractual obligations.
4. Lawful basis for processing
We only process your data where we have a lawful basis to do so. Depending on the activity, this will be one or more of the following: consent (for example, sharing your CV with a specific employer), the performance of a contract (managing your placement), our legitimate interests (operating and promoting our recruitment business in a way that does not override your rights), and compliance with a legal obligation (such as right-to-work and payroll record-keeping). Where we rely on consent, you may withdraw it at any time.
5. Sharing your data
We do not sell your personal data. We may share it with:
- Prospective employers and clients, where you have applied for or consented to be considered for a role;
- Service providers who support our business, such as payroll bureaux, IT and background-check partners, under appropriate contractual safeguards;
- Regulators, HMRC and law enforcement, where we are legally required to do so.
Where any provider is located outside the UK, we ensure appropriate safeguards are in place so your data receives an equivalent level of protection.
6. How long we keep your data
We keep your personal data only for as long as necessary for the purposes set out in this policy, and to meet our legal and regulatory obligations. For candidates, we typically retain records for the duration of our relationship and for a reasonable period afterwards so we can consider you for future roles. When data is no longer needed, we securely delete or anonymise it.
7. Keeping your data secure
We take the security of your data seriously and use appropriate technical and organisational measures to protect it against unauthorised access, loss or misuse. Access to personal data is restricted to staff who need it to do their job, and our systems are protected by suitable safeguards. No transmission over the internet can be guaranteed 100% secure, but we work continually to protect the information you share with us.
8. Your rights under UK GDPR
You have a number of rights in relation to your personal data, and you can exercise them free of charge. These include the right to:
- Be informed about how your data is used — the purpose of this policy;
- Access a copy of the personal data we hold about you;
- Rectification of inaccurate or incomplete data;
- Erasure of your data in certain circumstances (the “right to be forgotten”);
- Restrict or object to certain processing;
- Data portability — to receive your data in a portable format;
- Withdraw consent at any time where we rely on it.
To exercise any of these rights, please contact us using the details below. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority, at ico.org.uk — though we’d always encourage you to raise any concern with us first so we can put it right.
9. Cookies
Our website uses cookies and similar technologies to make the site work, to remember your preferences and to help us understand how the site is used so we can improve it. You can control or disable cookies through your browser settings. Turning off some cookies may affect how parts of the site function.
10. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or the law. Any updates will be posted on this page with a revised “last updated” date. We encourage you to review it periodically.
